Publishing a work, and reserving it

What your public website shows of a work and what it never shows, the three state axes, and how reservations and their waiting queue work.

THREE AXES, THREE DIFFERENT QUESTIONS

The collection is a galleries' module: another kind of house does not see it.

A work carries three independent states, because they answer three questions that must not be mixed up:

  • OWNERSHIP — who the piece belongs to: stock, consignment, third party, gone.
  • COMMERCIAL STATE — where the sale stands: available, reserved, on approval, under offer, on loan, sold, returned… eighteen values in all.
  • LOCATION — where the piece physically is: gallery, storage, art fair, loan, with a client, restorer, framer, photographer, transit.

PUBLISHING IS A SWITCH, NOT A FORM

« Publish on the website » applies immediately, with no confirmation. The status line under the switch tells you where you stand: « Published on the public website » or « Not published — invisible on the public website ».

Non-blocking warnings may appear — for instance if the work has no public image. An archived work cannot be published.

WHAT THE WEBSITE NEVER SHOWS

The website is built from an allow-list: anything not on it is held back. Four families never leave.

  • NO AMOUNT. No recorded value ever reaches the website. What appears as a price is free text you type yourself, never derived from a recorded amount.
  • NO LOCATION. Neither the physical location, nor its detail, nor the place the work normally returns to.
  • NO OWNER. Neither the ownership regime, nor the depositor, nor the acquisition or sale dates.
  • NO INVENTORY NUMBER. The website only knows the public code, drawn at random.

RESERVATIONS AND THEIR QUEUE

Only one reservation is active at a time on a work. A second request is not refused: it is queued. Four kinds exist — reservation, on approval, under offer, right of first refusal.

The default duration is the one in your settings, otherwise seven days. If you leave the field empty, the reservation never expires.

When a reservation is released or expires, the oldest one in the queue is promoted in the same operation. A queued reservation that is itself already past due is expired on the way, not promoted.

Placing a reservation does not change the work's commercial state: the two are independent, and it is up to you to decide whether the piece becomes « reserved ».

Frequently asked questions

DO MY RESERVATIONS EXPIRE ON THEIR OWN?

The queue updates when you open the reservations tab: due reservations are expired there and the next one is promoted. There is no background job doing it for you.

WHY IS MY WORK NOT SHOWING ON THE WEBSITE?

Three causes, in this order: it is not published, it is archived, or your website is not published. The work's own switch tells you which of the first two applies.

HOW DO I SHOW A PRICE ON THE WEBSITE?

By typing the text you want to see — « €1,200 », « On request », « €1,200 unframed ». That field is public and it is yours. The values you record elsewhere never leave.
